Registration Guidelines for APPS 2009

A warm Selamat Datang (“welcome” in Malaysian language) to all of you who wish to parrticipate in the 8th Asia Pacific Pharmaceutical Symposium 2009 (APPS 2009)!
                                                               
ELIGIBILITY OF APPS PARTICIPANTS:
All pharmacy students (Degree/Master/PhD) and graduates from pharmacy course (Degree/Master/PhD) within two years are eligible to join APPS. Priority is given to the participants from the Asia Pacific region. However, participants from outside the Asia Pacific region are also welcome to join us! This year, the APPS is limited to 200 participants only.

 

(1) TYPES OF REGISTRATION
a. APPS Registration
Seminar kit, pen, APPS souvenir, t-shirt, DVD, certificate of participation, accommodation during APPS, as well as meals and transport (except free night), etc. are included in this registration. This registration fee is not inclusive of entrance fees for cultural visits, fees for LIT and Post- Symposium Tour.

b. Ala Carte APPS Registration (For Locals Only)
We are offering the ala carte registration for locals who wish to attend the symposium only on Day 1, 8.00am- 4.00pm which is inclusive of lunch, tea break, seminar kit, pen, APPS souvenir and certificate of attendance.Besides that, it is optional for ala carte participants to attend the Video Contest & Scientific Poster Contest at 4.00pm – 6.00pm. (No extra fee needed.)

d. Gala Night Package (for APRO alumni only)
Since we are celebrating the 10th anniversary of APRO during the gala night, we cordially invite APRO alumni who held past office positions in the APRO to join us for the fiesta!
This package includes 1 Gala Night ticket, transport to/back from Gala Night venue and airport, 1 night accommodation in Vistana Hotel on 30 June 2009 and 1 breakfast on 1 July 2009. The flat rate for this package is USD 75. Please inform us your travel details at your earliest convenience to assist in managing our resources better. Kindly confirm your participation with our registration managers via email (apps_reg@yahoo.com) the latest on 1 Jun 2009.

 

e. Leaders In Training (LIT) Program
23rd June 2009 (starts from 5.00pm) – 26th June 2009 (ends at 5.00pm)
Fee: USD 120 for international participants; RM180 for local participants
Please note that the LIT programme is only available for a limited number of participants. Participants will be selected according to their application.

  2. Fill in and submit the registration form. Please note that the fee payment is required to be done within 14 days upon submission of the registration form.

  1. Participants can pay the fees by wire transfer only, either through over-the-counter transaction, online transaction or ATM transfer. You can also transfer your money via interbank transfer facilities if this service is provided by your bank (e.g. from Maybank transfer to CIMB Bank).

  1. For participants who pay through online transaction, you just need to forward a copy of your electronic transaction slip to our Registration Officers at the same email address as stated above.
  2. Emails should be sent under the title/subject of “APPS 2009 Payment Proof”. Apart from that, the following details should be included in the email. Any registration submissions received without proof of payment will NOT be valid.

  1. All international payment must be done in US Dollars.  Only locals are allowed to pay in Ringgit Malaysia.
  2. Cash and cheque will not be accepted on-site unless a participant fails to pay the sufficient amount.
  3. Upon registration submission, your payment and payment proof must be received by the Secretariat within 14 days. Your registration will be cancelled automatically for non-payment of fees after 14 days.
  4. Print a copy of your registration form and bring it together with your transaction slip to the APPS in case of declaration upon arrival.
  5. You will receive a confirmation email once your payment proof is received. Please make sure that your mailbox does not block emails from our official email address (apps09usm@gmail.com or apps_reg@yahoo.com) or treat them as spam emails. You can also check your fee payment status on our official website at the “List of Participants” section. Your name will only appear in the “List of Participants” section when both your registration form and proof of payment have been received. The list will be updated on weekly basis.
  6. You will receive a receipt at the reception counter at Vistana Hotel on 26th June 2009.

*Note:

  • The bank transaction fee and the bank service charges are excluded from the registration fee. Participants are highly encouraged to pay in groups (i.e. paying through local representative associations) to minimize the bank transaction fee which has to be paid by each participant.
  • The transaction fee and bank service charge will be collected upon your arrival if you fail to clear the transaction fee and bank service charge beforehand.

Please note that if your cancellation form is received:

  • Before May 15th, 2009 – The Secretariat will retain 50% of the paid fees to cover administration costs.
  • After May 15th, 2009 – The Secretariat will retain 100% of the paid fees with no refund made to the participant.

 

FAQ (Frequently Asked Questions)
Q: What if I registered for Early Bird Package but failed to pay within the period?
A: As long as you do your payment and send us your payment proof within 14 days, you can still qualify for the Early Bird Package.


Q: If I failed to pay within 2 weeks upon registration, and my name has been cancelled from the participants list, what should I do?
A: If you still wish to participate in the 8th APPS 2009, just re-register yourself. The same terms and conditions apply for your 2nd registration.

 

Travel Details

  • Plan your trip according to the transportation information provided on our website or contact us for any questions. (see transportation)
  • Please download the Arrival-Departure Form from our official website and fill in your   travelling details. Participants are required to send back the Arrival-Departure Form by 10th June 2009 to both our Registration Managers through email:

  • Visit our official website to view the Preparation List. There will be a list of things that you have to prepare for APPS.

 

Transportation
Participants are to be reminded that free transportation will only be provided during APPS to and from Vistana Hotel. Participants who arrive before 26th June 2009 will have to be responsible for their own transport.
Pickup from Penang International Airport and Sungai Nibong bus station to Vistana Hotel will be available on 26th June 2009 only. To arrange transportation from the airport and bus terminal to the accommodation, we will need all participants to fill out the departure and arrival form. We must have these forms back by 10th June 2008.

The transportation schedule is as below:


26th June 2009

12.00 pm and 4.00 pm from Penang International Airport or Sg Nibong bus station to Vistana Hotel

1st July 2009

9.00 am and 11.30 am from Vistana Hotel to Sungai Nibong Bus Station
11.00 am from Vistana Hotel to Penang International Airport

Other than these reception times for free transport, we will still provide reception on participants’ arrival at the airport and bus station, but participants will have to pay for their transport fees. Hence, you need to plan your travel time to arrive before the 2 reception times stated above to enjoy the free transport provided by the Secretariat.
Further information pertaining transportation will be updated from time to time. Participants are encouraged to refer to our official website later or contact us directly should you have any queries.
                      

Food
Food will be provided throughout the event (at least 3 meals per day), except Free Night. Participants need to notify us beforehand regarding food allergies and whether you are vegetarian by stating clearly in the registration form for your specific food requirement.
Details regarding food provided during the course of APPS will be updated shortly.

 

Accommodation
Our official accomodation for APPS 2009 is Vistana Hotel. Please be reminded that all participants will be responsible for your own expenses (i.e. transportation, food and accommodation) before 26th June and after 1st July.
For participants who will arrive earlier than 26th June 2009, we suggest a few hotels:

  • Vistana Hotel
  • B-Suite
  • Krystal-Suite

On the 26th of June, free transport will be provided to fetch participants from B-suite and Krystal-Suite to Vistana Hotel. However, if participants are staying in other hotels, they need to arrange for their own transportation to Vistana Hotel.

APPS T-Shirt
An APPS t-shirt will be given to each participant upon registration. Participants can fill in their preferred T-shirt size in the registration form.

Health and Safety Regulations
Participants are advised to acquire health and safety insurance for themselves and their dependents.

 

WAIVER
Photograph Release:  The 8th APPS 2009 has official photographers for the symposium. Photographs taken during the APPS may be used in future APPS publications, on the APPS website, etc. By registering for this symposium, you agree to allow the Secretariat of APPS 2009 to use your photo in any APPS-related publications or website.

Waiver of Liability:  Each individual attending the 8th APPS 2009 assumes all risks associated with his/her attendance and participation in all on-site and off-site activities that occur during this period. By registering for this event, you agree to indemnify and hold harmless the APPS 2009 Secretariat and its governing bodies, officers and members from all loss, damage or liability arising out of or related to your attendance and participation at the 8th APPS 2009.
